Your charity's knowledge. Greater impact.
Procium — Practical Artificial Intelligence for Charities and Community Organisations.
Executive summary
Artificial intelligence is creating opportunities for charities to transform how they manage information, deliver services, support volunteers and communicate with their communities. Yet many smaller charities remain excluded from these opportunities. Commercial AI solutions can be expensive, technically complicated and poorly suited to the specific needs of voluntary organisations. Procium exists to change that. Procium is the specialist artificial intelligence service of CharityVibe, an independent, volunteer-led nonprofit software initiative dedicated to making professional technology affordable for charities and community organisations. We combine experienced software development, charity-sector knowledge and responsible AI technologies to create practical solutions that reduce administration, improve access to information and release more time for frontline work.
Our services cover six principal areas: AI Knowledge Assistants and Retrieval-Augmented Generation (RAG); Intelligent Process Automation; Custom AI Applications and Agents; Document Intelligence and Information Extraction; Data Insights, Analysis and Reporting; and AI-Powered Communications. These services can operate independently or be integrated into a charity's existing software, websites and administrative processes. The objective is not to introduce AI for its own sake. It is to help charities achieve better outcomes with limited resources.
1. AI Knowledge Assistants: Making organisational knowledge accessible
Charities accumulate significant amounts of knowledge in policies, procedures, manuals, websites, training resources, operational guidance and historical documentation. This information is often distributed across different systems and difficult to locate. Staff and volunteers may spend considerable time searching for answers or asking colleagues to explain established procedures. Knowledge can also be lost when experienced volunteers leave.
Procium can develop a dedicated AI Knowledge Assistant using Retrieval-Augmented Generation (RAG). RAG enables an AI assistant to retrieve relevant passages from an organisation's approved information sources and use them to construct answers in everyday language. Rather than relying solely on general AI knowledge, the assistant draws on the charity's own content. Your charity's knowledge: Policies · PDFs · Websites · Manuals · FAQs. Secure knowledge indexing and retrieval. Procium Knowledge Assistant. Natural-language questions · Referenced answers.
Example applications: A volunteer asks how to refer someone for emergency support. The assistant retrieves the relevant referral procedure and explains the steps. A trustee asks about the charity's financial authorisation policy. The assistant identifies the relevant sections and links to the source documents. A new employee asks how to record an appointment. The assistant provides instructions based on the charity's approved operating procedures. Benefits: Knowledge Assistants can reduce repeated enquiries, accelerate staff induction, improve access to approved guidance and preserve institutional knowledge. They can also be made available through an internal portal, website or existing application. The result: your charity's documented knowledge becomes accessible through a conversation.
2. Intelligent Process Automation: Less administration, more impact
Many charities depend on manual processes involving spreadsheets, email, shared folders, paper forms and separate databases. A single referral might require staff to copy information between systems, send acknowledgements, arrange appointments, update records and produce reports. These activities consume valuable time and introduce opportunities for error.
Procium combines workflow automation with AI capabilities to simplify administrative processes. Routine, predictable activities can be automated through conventional software rules, while AI can assist with tasks involving unstructured text, classification and interpretation. Potential applications include incoming referrals (extract relevant information and prepare structured records for review), appointment administration (generate reminders and prepare follow-up communications), email management (categorise incoming enquiries and suggest appropriate routing), volunteer coordination (assist with availability matching and administrative scheduling), case administration (prepare summaries and identify missing documentation), and reporting (assemble information from approved systems into draft reports).
Example: An automated referral process. A charity receives an online referral. The system validates the submitted information, creates a record and sends an acknowledgement. AI can assist by categorising the referral and identifying potentially missing information. An authorised adviser reviews any consequential recommendations before decisions are made. The application then supports appointment scheduling, notifications and reporting. The charity benefits from a more consistent process without losing human oversight. The result: repetitive administration is reduced, allowing people to concentrate on delivering services.
3. Custom AI Solutions: Technology designed around your charity
Off-the-shelf AI products rarely reflect every charity's operating model. Different organisations have distinct beneficiaries, referral procedures, eligibility criteria, volunteer arrangements and reporting obligations. A generic chatbot or commercial AI subscription may not provide the integration or controls required.
We can develop tailored AI features and applications that work within a charity's existing digital environment. These may include specialist AI agents, intelligent forms, search interfaces, decision-support tools and integrations with existing software. Examples include intelligent application forms, volunteer support assistants, service navigation, internal operational assistants and specialist reporting tools. Where an AI agent is authorised to take actions, such as updating a record or sending a message, Procium can incorporate permission checks, approval requirements and audit trails. The aim is not unrestricted autonomous AI. It is controlled intelligence integrated into real organisational workflows.
4. Document Intelligence: Unlocking information trapped in files
Charities handle large volumes of documents, including application forms, grant agreements, correspondence, referral records, policy documents and reports. Much of the information is stored in unstructured formats that are difficult to search, compare or analyse. Manually extracting information is slow and can be inconsistent.
Document Intelligence uses AI to help extract, classify, summarise and organise information from documents. Depending on the source, the solution may combine text extraction, optical character recognition and language models. Potential applications include document extraction (identify names, dates, reference numbers, amounts and other required fields, with validation before records are updated), document comparison (highlight differences between policy versions, agreements or revised guidance), document summarisation (prepare concise summaries of lengthy reports, meeting notes and approved guidance), and intelligent classification (suggest document categories and appropriate filing destinations). Example: A charity receives supporting documents for a funding application. Procium could extract relevant information, identify missing sections, prepare a summary and organise the documents for staff review. Final eligibility and funding decisions remain with authorised personnel. The result: information becomes easier to find, organise and use.
5. Data Insights and Reporting: Understanding your impact
Charities need to demonstrate their effectiveness to trustees, funders, supporters and regulators. However, useful information may be distributed across case-management systems, spreadsheets, volunteer records and financial reports. Preparing meaningful reports can involve considerable manual work. Procium can help charities consolidate approved data sources, generate understandable summaries and explore patterns in operational information. Conventional analytics should perform the underlying calculations, while AI can help users ask questions, interpret results and draft explanatory commentary.
Examples of questions: How many referrals did we receive last quarter? Which services experienced the greatest increase in demand? How long does it typically take to process an application? How many volunteer hours were contributed? What outcomes should be highlighted in our next funding report? Potential applications include interactive management dashboards, natural-language data queries, funder reporting, trustee summaries, service-demand analysis and identification of incomplete or inconsistent records. The system should distinguish verified data from AI-generated interpretation, allowing users to trace reported figures to their source. The result: better access to evidence for planning, funding and demonstrating charitable impact.
6. AI-Powered Communications: Clearer, faster and more accessible
Charities communicate with beneficiaries, volunteers, donors, trustees, partners and the wider public. Preparing emails, newsletters, service updates and accessible information can take significant time. Small teams may struggle to maintain consistent communication across multiple channels. Procium can help prepare, adapt and organise communications while preserving the charity's voice and requiring appropriate human approval.
Potential applications include email and correspondence, newsletters, website content, accessible communication, personalised templates and public-facing AI assistants. Sensitive messages should be reviewed before sending, and personal information must only be used where there is an appropriate lawful basis and access authorisation. The result: more consistent communication with less repetitive drafting.
7. Responsible AI: Security, privacy and human oversight
Procium recognises that charities often work with vulnerable individuals and confidential information. Responsible AI development is therefore essential to every service. Our proposed delivery approach is built around five principles: Security and privacy — design appropriate safeguards for information and systems. Information ownership — define data ownership, access rights and processing responsibilities. Source-based answers — use approved sources and provide references where appropriate. Human oversight — keep consequential decisions under accountable human control. Charity-focused design — make systems affordable, accessible and maintainable.
AI-generated information can be incomplete, outdated or incorrect. Retrieval-Augmented Generation reduces reliance on general model knowledge, but does not eliminate the risk of inaccurate answers. Procium solutions should therefore include appropriate source references, uncertainty handling, evaluation against test questions, monitoring and escalation routes. For sensitive applications, we recommend explicit human approval before consequential actions. Privacy and security controls must be established for each deployment rather than assumed from the technology alone.
8. How Procium solutions are delivered
We use a structured development approach based on the SAGE methodology: specified requirements, AI-assisted generation, governance and evaluation. Discover: understand your charity, users, information sources and operational challenges. Design: define the AI assistant's scope, knowledge sources, permissions, workflows and success criteria. Build: develop the solution using appropriate AI models, software components and integrations. Verify: test accuracy, security, usability, reliability and behaviour when information is missing. Launch: deploy the service, provide user guidance and establish support arrangements. Improve: monitor performance, update knowledge sources and refine the service as requirements evolve.
Not every charity needs all six services. We recommend beginning with a clearly defined problem and expanding only where additional capabilities deliver demonstrable value.
9. Affordable AI for smaller charities
Many charities cannot justify the costs of traditional bespoke AI development. Procium addresses this challenge through a volunteer-led nonprofit operating model, responsible use of AI-assisted software engineering and reusable technical foundations. We aim to provide predictable subscription-based pricing where appropriate. Costs will depend on the number of users, volume of documents, AI usage, hosting, integrations, support requirements and the complexity of the solution. Our objective is to make the overall cost transparent and proportionate to the benefit delivered. CharityVibe's primary mission is affordable technology for charities. Available surplus, after essential operating costs and prudent reserves, can support charitable causes in accordance with the organisation's governance arrangements.
10. Measuring the benefits
The success of Procium should be measured by outcomes rather than the amount of AI technology deployed. Potential measures include: time spent searching for policies and procedures; hours devoted to repetitive administration; accuracy and consistency of information retrieval; speed of staff and volunteer induction; time required to prepare management reports; quality and accessibility of communications; staff and volunteer satisfaction; and cost of operating and maintaining the solution. Each project should establish a baseline before implementation and assess improvements after deployment. Projected savings should be distinguished from measured results. Releasing staff time does not necessarily produce a direct financial saving, but can create valuable additional capacity.
11. The Procium vision
We believe that access to advanced technology should not depend on the size of an organisation's budget. Small charities possess valuable knowledge, committed people and a deep understanding of the communities they serve. What they often lack is affordable technology to connect information, streamline operations and make better use of their resources. Procium seeks to bridge that gap. By combining practical AI capabilities with responsible software engineering and nonprofit values, we aim to help charities become more efficient, informed and effective. The purpose is not to replace the human relationships at the heart of charitable work. It is to give people better tools, better information and more time to do what matters.
